Quotations
Quotations are valid for the period stated on them. If no period is stated, a quotation is valid for fifteen (15) days from the date of issue. A quotation does not create a binding obligation until both parties accept it in writing, including by email or electronic acceptance.
Availability
All Equipment is subject to availability. Specifications, models, and brands may be substituted with equivalent or better Equipment where the originally requested item is unavailable, unless otherwise agreed in writing.
Website Information
Information on the Website, including images, descriptions, and indicative pricing, is provided for general information and may not reflect real-time availability or final pricing.
Customer Information & KYC
To rent or lease Equipment, we may require you to provide accurate and complete information, including:
- Legal name and constitution of the business or individual
- Company registration details, GSTIN, and PAN where applicable
- Authorised signatory details and identity or address proof
- Business address, delivery address, and billing address
- Contact details for operational and billing communication
You agree to keep this information accurate and up to date and to notify us promptly of any changes. We may decline, suspend, or cancel a request if we are unable to verify the information provided or if we reasonably suspect fraud, misuse, or credit risk.
Rental & Lease Terms
Term
The Term begins on the date the Equipment is delivered to you (or made available for collection) and continues until the Equipment is returned to and accepted by Trinex Infotech, or for the fixed period stated in the Agreement, whichever is later.
Minimum Commitment
Where an Agreement specifies a minimum rental or lease period, you remain liable for the Charges for that minimum period even if you return the Equipment early, unless otherwise agreed in writing.
Extension & Renewal
You may request an extension of the Term by informing us in writing before the Term ends. Extensions are subject to availability and our approval. If Equipment is retained beyond the Term without written approval, Charges will continue to accrue at the rate stated in the Agreement or, if none is stated, at the prevailing rate for that Equipment.
Addition & Substitution
Additional Equipment may be added under an existing Agreement through a written order or addendum. We may replace Equipment with equivalent Equipment during the Term for maintenance or operational reasons.
Pricing, Taxes & Payments
Rental and lease Charges are set out in the applicable quotation or Agreement. Unless stated otherwise, all Charges are quoted in Indian Rupees (INR) and are exclusive of applicable taxes.
Taxes
Goods and Services Tax (GST) and any other applicable taxes, duties, or levies will be added to the Charges as required by law. You are responsible for providing accurate GST details for invoicing.
Invoicing & Payment
Invoices are raised in accordance with the billing cycle in the Agreement. Payment must be made within the period stated on the invoice or Agreement. Payment may be made through bank transfer, UPI, or other methods we make available. Online payments are processed through third-party payment providers as described in our Privacy Policy.
Late Payment
If any amount is not paid by its due date, we may charge interest or late fees at the rate specified in the Agreement, suspend services, withhold further deliveries, and, where the delay continues, recall the Equipment in accordance with these Terms.
Disputed Invoices
If you dispute any invoice, you must notify us in writing within seven (7) days of receiving it, giving reasons. The undisputed portion must be paid by the due date.
Price Changes
Charges fixed under an Agreement will not change during the Term, except for changes in applicable taxes or as expressly provided in the Agreement.
Security Deposit
We may require a refundable security deposit before delivering Equipment. The amount will be stated in the quotation or Agreement.
The deposit secures your obligations under the Agreement. We may deduct from the deposit any unpaid Charges, repair or replacement costs for damage beyond normal wear and tear, the cost of lost or unreturned Equipment, and any other amounts you owe us.
The balance, if any, will be refunded after the Equipment has been returned, inspected, and all Charges have been settled, within the period stated in the Agreement. The deposit does not bear interest unless otherwise agreed in writing.
Delivery, Installation & Return
Delivery
We will deliver Equipment to the address specified in the Agreement. Delivery timelines are estimates and may be affected by availability, logistics, or circumstances beyond our control. You must ensure that an authorised person is present to receive the Equipment.
Inspection on Delivery
You must inspect the Equipment on delivery and notify us in writing of any visible damage, shortage, or defect within forty-eight (48) hours. Failing this, the Equipment will be treated as delivered in good working condition.
Installation
Where installation or setup services are included, you must provide safe access, a suitable environment, power, and network connectivity as reasonably required.
Return
At the end of the Term, you must return all Equipment, along with accessories, power adapters, cables, and packaging provided, in good working condition, ordinary wear and tear excepted. Return must be arranged with us in advance, and returns are accepted only after inspection by Trinex Infotech.
Missing, damaged, or unreturned items will be charged at repair or replacement cost, as determined reasonably by us. Delivery and return logistics charges, where applicable, will be stated in the Agreement.
Use of Equipment & Ownership
Ownership
All Equipment remains the sole and exclusive property of Trinex Infotech at all times. Nothing in these Terms or any Agreement transfers ownership to you, unless a written purchase option is expressly agreed and exercised.
Permitted Use
You must use the Equipment only for lawful business or personal purposes, in accordance with the manufacturer's guidelines, and at the location stated in the Agreement.
Restrictions
You must not, and must not permit anyone else to:
- Sell, sub-lease, lend, pledge, mortgage, or create any lien or charge over the Equipment
- Move the Equipment to another location without our prior written consent
- Open, modify, repair, or tamper with the Equipment, or remove or alter asset tags, serial numbers, or labels
- Install unlicensed, pirated, or unlawful software
- Use the Equipment for any unlawful, fraudulent, or harmful activity
- Allow unauthorised third parties to use the Equipment
Inspection & Recovery
We may inspect the Equipment during the Term on reasonable notice. You must give us or our representatives access to recover the Equipment where the Agreement is terminated or you are in default.
Software & Licences
Any software supplied with the Equipment is licensed by its respective owner and is subject to the applicable licence terms. You must comply with those terms and must not copy, transfer, or tamper with such software.
Maintenance & Support
We will make reasonable efforts to keep the Equipment in good working order and to provide support in accordance with the Agreement, including repair or replacement of Equipment that fails during normal use.
You must report faults promptly through the support channels we provide. We may require the Equipment to be returned or made available for diagnosis and repair.
Maintenance and replacement at no extra cost do not apply to faults caused by misuse, negligence, unauthorised repair or modification, liquid damage, physical damage, theft, loss, or use contrary to these Terms. Such repairs or replacements will be chargeable.
Replacement timelines are subject to stock availability and logistics, and downtime during repair or replacement does not entitle you to a reduction in Charges unless the Agreement expressly provides for it.
Risk, Damage & Insurance
From delivery until the Equipment is returned to and accepted by us, you bear the risk of loss, theft, damage, or destruction of the Equipment, except where we have expressly agreed otherwise in the Agreement.
You must take reasonable care of the Equipment, keep it in a safe and secure environment, and immediately inform us of any loss, theft, damage, or accident. In the event of theft, you must file a police complaint and provide us a copy of the report.
Where we offer an insurance or damage-protection plan, its scope, exclusions, and any excess amount will be stated in the Agreement. Unless covered by such a plan, you are responsible for repair costs, or the replacement value of Equipment that is lost, stolen, or damaged beyond repair. You may be required to maintain your own insurance for the Equipment where the Agreement says so.
Data on Equipment
You are solely responsible for all data, files, software, and information that you store on or process using the Equipment.
- You must back up your data regularly. We are not responsible for loss, corruption, or disclosure of data stored on the Equipment.
- Before returning any Equipment, you must remove all your personal and confidential data and any accounts or credentials you have set up on it.
- Returned Equipment may be wiped or re-imaged by us to prepare it for the next customer. We do not undertake to retain, recover, or return any data left on the Equipment.
- You must not use the Equipment to store or process unlawful content.
If we need to access the Equipment for repair or support, we will make reasonable efforts to respect your confidentiality, but you should remove sensitive data before handing over Equipment wherever possible.

You may terminate an Agreement by giving written notice in accordance with the notice period stated in it, subject to any minimum commitment and early-termination charges specified in the Agreement.
